👥 Managing Customers

This guide explains how to add, search, edit, and manage customers in the dashboard - all in plain, simple language.

📋 What Information You Need for Each Customer

Personal Details (Required)

Customer Code System creates this automatically DF-0042 You can change it if needed, but it must be unique

Address Details

Address Line 1 House/flat number, building name Be specific for delivery
Address Line 2 Street, area, landmark Optional but helpful

Pincode 6-digit postal code System may verify this
💡 Tip: Same Address
If permanent and communication addresses are the same, check the "Same as Permanent" box to save time

Bank Account Details

Documents to Upload

Nominee Details

The nominee receives the investment if something happens to the customer:

Nominee Name Full name of nominee
Relationship Son, Daughter, Spouse, Parent, etc.
PAN (Optional) Nominee's PAN if available
Percentage Usually 100% for single nominee

Step by Step

  1. Open the Form: Click the + Add Customer button (top right corner)
  2. Personal Details:
    • The Customer Code is filled automatically
    • Enter name, PAN, Aadhar, mobile
    • If PAN/Mobile shows red - it means another customer already has it
  3. Address: Fill permanent address, then correspondence (or check "Same")
  4. Bank Account:
    • Enter account number twice (must match)
    • Enter IFSC - bank name auto-fills
  5. Documents:
    • Click each upload area
    • Select file from your computer
    • Wait for green checkmark
  6. Nominee: Add at least one nominee
  7. Save: Click Save Customer

⚠️ Common Errors When Adding Customers

Error Message What It Means How to Fix
"PAN already exists" Another customer has this PAN Check if customer already exists, or verify PAN is correct
"Mobile already exists" This phone number is registered Search for existing customer with this number
"Invalid PAN format" PAN not in correct format Must be 5 letters + 4 numbers + 1 letter (e.g., ABCDE1234F)
"File too large" Document exceeds size limit Compress the image or reduce quality
"IFSC not found" Bank code not recognized Double-check IFSC from checkbook or bank's website

✏️ Editing Customer Details

  1. Find and click on the customer
  2. Click Edit button
  3. Make your changes
  4. Click Save
⚠️ Important
Changes to PAN, Aadhar, or Bank Details may need manager approval

📥 Adding Many Customers at Once (Import)

When to Use

When you have 10+ customers to add, importing from Excel is faster

How to Import

  1. Click Import button
  2. Click Download Template to get the Excel format
  3. Fill your customer data in Excel following the column headers exactly
  4. Save the file
  5. Click Upload and select your file
  6. Review the preview - errors will be highlighted in red
  7. Fix any errors in your file and re-upload if needed
  8. Once all green, click Execute Import
💡 Import Tips
  • Use DD/MM/YYYY format for dates
  • State names must match dropdown exactly (e.g., "Tamil Nadu" not "TN")
  • Mobile numbers should be 10 digits without country code

📤 Downloading Customer Data (Export)

  1. Apply any filters if you want specific customers only
  2. Click Export button
  3. Choose CSV (opens in any software) or Excel
  4. File downloads automatically
